With AI

Hello, I’m the practice’s digital assistant. You’re speaking with an AI system.

Tue 17:30 · new patient

How this mechanism runs for a business in this sector, step by step.

Sectors · Clinics & veterinary practices

“The phone rings. You’re holding the drill.”

AI for medical, dental and veterinary practices

A calculator preset for a dental practice · change it to your own numbers

Across 26 dental practices in the US, 38 in 100 calls went unanswered. How many do you miss?

Eurostat’s survey of AI use doesn’t cover medical practices, so there is no official Greek figure. We won’t show you a number that doesn’t exist. That’s why you’re seeing a US vendor study, labelled as such.

Or you’re tightening a bandage on a dog that won’t sit still. Whatever the practice, the unanswered call isn’t recorded anywhere. Nor is the appointment that never happened.

The assistant doesn’t triage symptoms or give medical advice. It books appointments and passes everything else to you.

The invisible

Four sentences from every practice.

In a practice, the clinician’s time is the most expensive thing in the building. Phones, reminders and paperwork eat it.

What we build

The phone answered. The clinician with the patient.

On the left, what takes the repetitive work off reception and never goes near clinical judgement. On the right, what brings new patients without breaking the profession’s advertising rules.

AI & Custom Solutions

  1. A Greek-speaking voice receptionist

Takes the calls you can’t get to and the ones after hours. Books into your calendar, reads back the date and time, and passes anything that isn’t an appointment to a person.

    What we measure
Calls answered, out-of-hours bookings, handover rate
    Pilot or estimate
    Example: 800 calls a month, 30% missed, 30% new patients, 25% book ≈ 18 new appointments a month

  2. Reminders and rescheduling on Viber

A message before the appointment, one tap to confirm or change. A slot that opens is offered to the next person on the waiting list.

    What we measure
Last-minute cancellations, gaps in the schedule
    Pilot or estimate
7–12 hours a month in year one, for 600 appointments A planning range for a pilot in a Greek SME. Your own figure is measured in the pilot.

  4. Ambient note-taker (pilot)

Listens to the consultation with the patient’s consent and drafts the notes. The clinician edits and signs.

    What we measure
    Documentation hours, after-hours time
    Pilot or estimate
A pilot with one clinician first
    Evidence

4–6 week pilot A planning range for a pilot in a Greek SME. Your own figure is measured in the pilot.
    The service

For a practice with 2–4 chairs: 29–48 hours a month in year one (worked example, from the X-Ray below), roughly €340–560 a month at €11.60/hour. Appointments no longer lost are counted separately, in the missed-call calculator.

AI Front Desk: Chat from €390/month + €2,500 set-up · Chat + Voice from €790/month + €5,500 set-up

No savings percentage before the X-Ray. We measure it in your own business.

What it never does

Triage, medical advice, diagnosis. It keeps the minimum health data, processed in the EU, with an impact assessment. Health data is a special category under Article 9 of the GDPR, and we treat it that way.

Marketing & Growth

  1. Dog Years

For vets: a QR code on the water bowl outside dog-friendly cafés nearby: “How old is your dog in human years?” Four swipes, a card for stories and, only if the owner asks, a Viber reminder for a check-up.

    What we measure
    Scans, reminders requested, appointments
    Play the scenario
  2. X-Ray on Pause

For vets: a reel of a dog at play. “Pause at 0:04.” Three frames show its X-ray: a sock in the stomach. The message: what to do if your dog swallows something it shouldn’t. The same mechanism as Frame Hunt, in another sector.

    What we measure
    Watch time, booking messages
    The service
  3. Local visibility and AI answers

Google Business Profile, hours, services and prices that AI tools read correctly, for queries like “vet in Almyros open on Saturday”.

    What we measure
Calls and directions from the profile, mentions in AI answers
    The service

Advertising by health professionals is tightly regulated. For medical and dental practices we don’t build promotional games: we work on information, meaning opening hours, services and correct AI answers. The games on this page are for vets, and every campaign goes through legal review before launch.

What we'd build

  1. A digital assistant on phone, Viber, WhatsApp and web, with a way out to a person
  2. Reminders and confirmations on Viber
  3. A monthly report: what your customers ask

Funding. In the X-Ray we check which programme fits, if any does, against the current call text.

The formula

Hidden hours/month = contacts × 21 × minutes × same-question % ÷ 60. Unanswered calls stay out of the cost: they show separately, because they are revenue at risk, not hours.

Cost/year = hidden hours/month × 12 × hourly cost (+ external cost, where there is one). Automatable = labour cost × department coefficient (0.50–0.80) + external cost × a second coefficient. People = hidden hours/month × coefficient ÷ 150 hours. Payback = pilot cost ÷ (automatable ÷ 12).

The coefficients are our own conservative estimate, shown here so you can challenge them. 150 hours is one person's productive time in a month (≈1,800 a year).

How old is your dog in human years?

When a vet runs it, the QR code sits on the water bowl outside the café next to the vet’s. Four swipes, a dog that greys at the muzzle, a card for your stories. Here you can try it without the dog.

Without the demo: four questions on age, size, walks and name give the dog’s age in human years, one of four stages from “A puppy with opinions” to “The neighbourhood sage”, and a card for your stories. When a vet runs it, a Viber check-up reminder follows, only if the owner asks for it.

An example age table, not a veterinary assessment. When a vet runs it, the vet sets the table. We store none of your answers.

Why it works

Play → Decode → Deploy
Mechanism
A QR code as content, a data mirror and a small game, on water bowls outside cafés instead of ads.
Psychology
The personal result card, the “Wrapped” effect: it says something about your dog, so you share it.
Platform signal
Sends and stories. Physical distribution at almost no media cost.
Honest range
10–20% of players ask for a Viber reminder, 5–10% of those book.A planning range for a Greek SME pilot. Not a forecast.
Rules & limits
Veterinary advertising rules, checked by counsel. The reminder only with explicit consent. No answers stored. Permission from every café.

For medical and dental practices we don’t build promotional games. There we work on information: hours, services, correct AI answers.

Questions

What does AI do in a medical or veterinary practice?

It answers the calls you can’t get to and those after hours, books into your calendar, sends Viber reminders, collects forms before the visit and remembers vaccination boosters. It doesn’t triage symptoms and doesn’t give medical advice.

Will the patient know they’re talking to a machine?

Yes, from the first sentence: “Hello, I’m the practice’s digital assistant. You’re speaking with an AI system.” Article 50 of the AI Act has required this since 2 August 2026. One word, “person”, or pressing 0, and the call comes to you.

What about health data?

Health data is a special category under Article 9 of the GDPR. The assistant keeps the minimum needed to book, processed in the EU, under a data processing agreement and an impact assessment, with no model training on your data.

Does it understand Greek names, dates and a Cretan accent?

That’s the hard part, so we don’t assume it. Before every handover we run a 100-call test with dates (“Tuesday the 14th at half past five”), names, addresses, regional accents and noisy lines. The assistant reads back every critical detail.

What does it cost?

The AI Front Desk starts from €390/month + €2,500 set-up for chat on Viber and your site, and from €790/month + €5,500 set-up for chat plus voice. The missed-call calculator on this page shows, with your own numbers, how many appointments are left on the phone today.
